How to Schedule Events at the Bellingham Dharma Hall & Annex

 

How is the space assigned?

Each of the 4 groups that use the BDH is assigned an evening of the week and a weekend each month to use for their practice events. The assignments are for both the Hall on the 3rd floor and the Annex on the second floor.

 

The evening assignments are:

Mondays: Shambhala

Tuesdays: Vipassana

Wednesdays: Mindfulness

Thursdays: Zen

 

The weekend assignments are:

1st weekend of the month: Zen

2nd weekend of the month: Vipassana

3rd weekend of the month: Shambhala

4th weekend of the month: Mindfulness

 

Weekends are determined in the following way:

The 1st weekend is defined as the 1st weekend of the month that starts on a Saturday. If the month begins on a Sunday, that is NOT considered the 1st weekend. The preceding Friday evening is included in the weekend assignment, even if it falls in the previous month.

 

Who may schedule events at the Hall?

          Any of the groups affiliated with the Hall (the four traditions plus Buddhist Peace Fellowship) may schedule events at the Hall.  Only the group representatives (listed below) are authorized to request dates other than their group’s pre-assigned dates, using the procedures described below.

Anyone wishing to schedule an event not sponsored by one of the affiliated groups must obtain board approval for the event.  In general, only Buddhist events will be considered.  A request to use the Hall from any group or individual not affiliated with the Dharma Hall is subject to the following minimum criteria: 

  1. the date is available and doesn't conflict with any potential Hall event.
  2. the subject of the event must be in harmony with the spirit and philosophy of Buddhist practice.
  3. a Hall member shall attend the event or meeting and be responsible for the space.
  4. If there is a charge for the event, 15% of gross receipts (excluding contributions to teachers) must be donated to the BDH.

Once approved by the board, the individual organizing the event must follow the procedures below.

 

How do you schedule the Hall or the Annex for a date assigned to one of the affiliated groups?

  1. Contact the representative of that group.  The names and contact information of the group representatives are listed on the calendar on the BDH website (and below). The group representative is the only person who can authorize another group or individual to use that group’s assigned dates.
  2. Once you and the group representative have agreed on a schedule change, it is the responsibility of the person making the request to notify the Hall Scheduler and make sure the change is posted on the calendar on the BDH website.
  3. The calendar on the BDH website serves as the official master calendar for the 3rd floor Hall and the Annex on the 2nd floor. A change is not “official” until it is posted on the BDH website.

 

 

How do you schedule the Hall or the Annex for open dates?

Certain dates, such as 5th weekends in a month, are not assigned to any group and are potentially open for other groups to use or for non-affiliated events.  These dates may be scheduled by contacting the Hall Scheduler directly. You may schedule that date if it has not been scheduled already. The assignment is not official until it is posted on the BDH website.
